Main Purpose of the Job
The Sales Back Office Specialist (Sales Data Controller) is responsible for supporting the sales team and other relevant departments by managing and optimizing processes related to key customer data, portfolio performance, and reporting.
This role requires advanced technical skills in Excel, BI tools, and CRM systems, as well as the ability to lead and manage strategic tenders and complex projects (would change to supports KAM (Key Account Management) during strategic clients’ tenders, helping to break down the complex projects into smaller pieces providing insights)
The ideal candidate is highly analytical (has strong analytical mindset), detail-oriented, and (capable of providing insights for further automation of the workflows and processes) automating workflows to enhance efficiency across the sales back-office functions.
Primary Responsibilities
Strategic Tender Management:
- Support and lead the preparation and project management (KAM responsibility) of strategic tenders, ensuring all deadlines are met and submissions are completed accurately. (Tenders are not that complex – the main thing is to know each client’s peculiarities, for ex. Valid from/to dates (IKEA case) and navigation in client tender files. Regarding “leading project management” – it is done by KAM, the one who are in talks with the client.)
- Collaborate with cross-functional teams to gather information and ensure the tender documents align with business strategies (KAM Responsibility)
Data Analysis and Visualization:
- Employ advanced Excel functions and BI tools to analyze customer data, identify trends, and develop actionable insights.
- Create visually compelling reports and dashboards to communicate key insights to stakeholders.
- Collaborate with the sales and support teams within different departments to understand data needs and deliver customized solutions.
Portfolio Performance Monitoring:
- Develop and maintain - Excel-based systems for monitoring the performance of key customer portfolios.
- Implement KPIs and metrics to track customer satisfaction, revenue growth, and portfolio health (Work with Power BI pricing section)
- Provide regular reports, highlighting areas for improvement and opportunities/insights to KAM to enhance clients’ portfolio growth (Mainly margins and volumes by transport corridors - In the future)
Automation and Efficiency:
- Design and implement automated Excel solutions to streamline data entry, updates, and reporting tasks.
- Identify and execute process automation opportunities to enhance overall efficiency in portfolio management.
- Work closely with the IT team to integrate automated solutions into existing CRM or customer management systems. (most of the times we can only make suggestions but not CRM or TMS implementations or changes)
Customer Insights and Strategy:
- Collaborate with marketing and strategy teams to derive actionable insights from customer data
- Contribute to the development of customer-centric strategies based on data analysis and trends (This part is quite slipy because you have to know and understand clients peculiarities really well (supply chain, manufacturing processes, product details, seasonality and etc.) for strategies to be logical and viable because I am sure that there are cases where plain number don’t make sense but in reality they do)
- Support decision-making processes by providing timely and accurate data-driven recommendations to stakeholders.
Training and Support:
- Provide training to team members on advanced Excel techniques and best practices for managing customer data.
- Offer ongoing support for effective use of Excel and other analytical tools across the sales team.
Languages required for the performance of the job functions
- Lithuanian Language – C2
- English Language – C1
Knowledge / Skills / Experience
- Bachelor's degree in a relevant field (e.g., Business, Analytics, Information Technology).
- Proven experience as an Excel Expert with a focus on managing key customer portfolios.
- In-depth knowledge of Excel functions, formulas, and data visualization techniques.
- Strong analytical and problem-solving skills with a keen attention to detail.
- Ability to communicate complex data insights to non-technical stakeholders.
- Experience in collaborating with cross-functional teams.
- Familiarity with customer relationship management (CRM) systems is a plus

- Base monthly salary: €1,770 - €2,210 GROSS. The specific salary offered will depend on the candidate‘s experience, competencies displayed and suitability to the requirements of the position.
