Operations Specialist
Main Purpose of the Job
The Operations Specialist is responsible for the timely and accurate administration of assigned customer/supplier data, service revenue recognition, and—when necessary—debt administration and prevention, in compliance with customer contractual requirements and the company's freight transportation and debt management policies. The role ensures that customer payments for provided services are processed on time.
What can you expect your day to look like?
- Ensure accurate and timely recognition of revenue for services provided, using internal systems (Axapta and/or SAP).
- Review client-submitted monthly invoices and prepare pre-invoices. In case of discrepancies between the client’s and the company’s transport conditions, communicate with the client and/or the responsible manager to identify root causes and implement corrective measures
- Monitor client/supplier payments, notify parties of upcoming or overdue deadlines, investigate causes of delay, and coordinate prompt resolution to ensure timely settlements.
- Coordinate with Accounting/Finance regarding invoicing, credit notes, customer payments, overpayment refunds, and related matters and escalate issues to Sales/Customer Service/Legal to ensure timely involvement in problem resolution.
- Perform administrative tasks such as status updates in internal systems (Axapta/SAP) and customer systems, preparation of standard reports, collection of CMR
- Substitute the direct manager and/or colleagues when required
- Escalate complex issues to the Sales or Customer Service Manager for involvement in resolution. When necessary, involve Legal and ensure all relevant information is collected and shared.
What do we expect from you?
- Higher education (Bachelor’s degree) is required.

Strong attention to detail, accuracy, responsibility, and patience.

Proficiency with Microsoft Office (Excel) tools and general computer literacy.

Experience working with accounting documentation and/or document management systems is an advantage.

Good command of English (written and spoken).

Base monthly salary: 1410 € - 1760 € Gross. The specific salary offered will depend on the candidate‘s experience, competencies displayed, and suitability to the requirements of the position.
